Overview

Knights College is seeking a proactive, detail-oriented EU Projects and Grants Administrator to support the implementation of its international and nationally funded initiatives. This isa support role focused primarily on administration, coordination, and compliance, ideal for a graduate looking to develop hands-on experience in the delivery of Erasmus+ and other project frameworks.

There is long-term growth potential for the right candidate to evolve into a more development-focused position with appropriate mentorship and exposure.

Responsibilities

Role responsibilities (will include but are not limited to)

The Projects and Grants Administrator will:

  • Administer current Erasmus+ and EU-funded projects, ensuring compliance with all programme rules and reporting requirements.
  • Maintain accurate and up-to-date documentation, including timesheets, agreements, financial reports, attendance logs, and deliverables.
  • Coordinate logistics for project activities, including travel, events, mobility, and partner meetings.
  • Draft and compile internal project reports, evaluations, and project documentation for submission to funding authorities.
  • Liaise with internal teams and external stakeholders to ensure project milestones, outputs, and timelines are met.
  • Track budgets, monitor expenditure, and support financial reporting in line with funder requirements.
  • Ensure compliance with EU and national visibility and branding guidelines.
  • Support the execution of project-related tasks across Knights College’s international hubs, where applicable.
  • Report to the KNIGHTS Principal and CEO.
  • Report, communicate and collaborate with the International Project Lead and other International Partners.
  • Collaborate closely with both academic and administrative teams.

Kindly Note:

The Administrator will be exposed to project lifecycles and may, over time, be mentored into supporting project development tasks as part of their growth trajectory.

Education and Experience

We’re looking for someone with:

  • A recognised MQF Level 6 qualification or higher in a relevant field (e.g. Public Administration, Education Management, EU Studies, Project Management).
  • Minimum of 2 years experience in project administration or support roles (experience in Erasmus+ or EU programmes is an asset).
  • Excellent command of written and spoken English (knowledge of Maltese is an advantage).
  • Strong proficiency in Microsoft Office and cloud-based collaboration tools (e.g. Google Workspace, Dropbox).
  • Confidence in managing multiple deadlines, tracking documentation, and coordinating activities with precision.

  • Comfortable working independently and within a collaborative team environment.
  • Familiarity with EU programme guidelines, Erasmus+ tools (e.g. Beneficiary Module), or national grant portals is a plus.
